Refund and Cancellation Policy

This policy pertains to all workshops, trainings, and products offered under Encompassion Learning Solutions (ELS). ELS reserves the right to update this policy from time to time, or in the event that we add other products, services, or brands under our banner.

IMPORTANT: Please note that when an event or product is offered in partnership with another organisation, this Refund and Cancellation Policy may not apply. In that case, the Refund and Cancellation policy will be made visible on relevant event pages, so please read those carefully.


Terms of Refunds and Cancellations

A. When We May Refuse or Cancel a Registration or Transaction

ELS reserves the right to refuse or cancel any registration, transaction, booking, or order at its sole discretion, including but not limited to the following circumstances:

  • If we suspect a fraudulent transaction.
  • If we believe a registration, booking, or transaction has been made in violation of our Terms of Use or other applicable policies.
  • If a participant, customer, or client has caused disruption or behaved in ways that compromise the safety, wellbeing, dignity, or learning experience of other participants, facilitators, staff, volunteers, or community members.
  • If circumstances arise that are outside the reasonable control of ELS, including but not limited to logistical difficulties, venue-related issues, travel disruptions, natural disasters, public health concerns, or other unforeseen events.

If ELS refuses or cancels a registration, booking, or order, we will communicate this electronically. Where a refund is due, the customer or client will be given up to three (3) weeks to provide the necessary bank details or preferred payment method for processing the refund.

If no response is received within this period, ELS reserves the right to close the matter and may be unable to process refunds after that date.

B. For Products and Merchandise

Orders for physical products, merchandise, books, cards, toolkits, or other goods purchased through ELS are non-refundable and non-cancellable once an order has been placed, except in the circumstances described below.

If a product is unavailable, discontinued, damaged prior to dispatch, or if ELS is unable to fulfil the order for any reason, the customer will be offered either:

  • a full refund, or
  • an alternative product of equivalent value, where appropriate.

If a product arrives damaged or defective, please contact us within 7 days of receiving the order, and we will work with you to find an appropriate resolution.

Refunds, where applicable, will be processed within 15 working days.

C. For Workshops, Training Programmes, and Other Events

C.1. When You Need to Cancel a Registration

C.1.a. For residential workshops, retreats, camps, and training programmes:
  1. Cancellations 60 or more days prior to the event: Full refund minus any booking amount, payment gateway or transaction fees.
  2. Cancellations 30–59 days prior to the event: 50% refund minus any booking amount, payment gateway or transaction fees.
  3. Cancellations less than 30 days prior to the event: No refund.
  4. In some cases, registrations may be transferable to another individual or family, subject to prior communication and approval from the organising team.
C.1.b. For online workshops and training programmes:
  1. If a participant cancels their registration 14 or more days before the start of an online workshop or training programme, the registration fee will be refunded minus any booking amount, payment gateway or transaction fees.
  2. If a participant cancels their registration less than 14 days before the start of an online workshop or training programme, we are unable to offer a refund.
  3. In some cases, registrations may be transferable to another individual or family, subject to prior communication and approval from the organising team.
C.1.c. For All Workshops and Training Programmes
  1. If we cancel an event, all amounts received by ELS, including the booking amount, will be fully refunded. Please note that this may not include payment gateway, banking, or transaction fees that are retained by third-party service providers and are not received by ELS. Where appropriate, participants may also choose to transfer their registration to a future event or receive an equivalent service or offering of the same value.
  2. No refunds are offered for paid workshops that are completed but are not attended by registered participants. We do not refund no-shows.
  3. In the event of a failed transaction, duplicate payment, or double debit for the same registration, the excess amount paid will be refunded. Refunds relating to payment processing errors may be handled directly by our payment gateway partners where applicable.
  4. Refunds will be processed within a maximum of 15 working days.
  5. No refunds will be offered if a participant is asked to leave a workshop, training programme, or residential event due to behaviour that compromises the safety, wellbeing, dignity, or learning experience of other participants, facilitators, staff, volunteers, or community members, or due to violations of event agreements and policies.
  6. Refund requests arising from illness, family emergencies, travel disruptions, visa issues, or other unforeseen personal circumstances will generally be governed by the cancellation timelines above. Exceptions may be considered at the sole discretion of ELS but are not guaranteed.

D. Force Majeure (Circumstances Beyond Our Control)

This policy and any refunds under it shall not be considered to be in default or breach of this policy, and shall be excused from performance or liability for damages to any other party, if and to the extent it shall be delayed in or prevented from performing or carrying out any of the provisions of this policy, arising out of or from any act, omission, or circumstance by or in consequence of any act of God, labor disturbance, sabotage, failure of suppliers of materials, act of the public enemy, war, invasion, insurrection, riot, fire, storm, flood, ice, earthquake, explosion, epidemic, breakage or accident to machinery or equipment or any other cause or causes beyond reasonable control, including any curtailment, order, regulation, or restriction imposed by governmental, military or lawfully established civilian authorities, or by making of repairs necessitated by an emergency circumstance not limited to those listed above.
