As part of the registration process, we will ask all participants to consent to the following community agreements and policies. Please take a moment to read them.
Do get in touch with us if you have any questions or clarifications.
A. Health and Medical Agreements
We ask participants to share relevant medical information, allergies, emergency contacts, and any significant health considerations that may support safety and care during camp. We ask you to take responsibility for your medical treatment, hospitalization, or emergency-related expenses. Participants also agree that:
- They are responsible for their own medical care and related expenses
- They will inform the organizing team if they develop symptoms of a contagious illness
- They will follow reasonable community care measures if needed, including masking, testing, quarantine, or temporary isolation as needed
B. Safety, Consent and Inclusion
Please note that enCOMPASSion does not tolerate sexual harassment, abuse, assault, coercion, violations of consent, or discrimination of any kind at our workshops and retreats. These behaviours will not be tolerated at camp. We reserve the right to protect our participants and ourselves by taking any measures needed, including but not limited to asking people to leave or contacting relevant authorities.
In addition, we want to honour consent, choice, and boundaries, especially for children who may not be easily able to advocate for themselves. We encourage all campers to ask before physical touch, advice-giving, photographing, hugging, etc. We also encourage all campers to say “yes” or “no” freely, and to respect each others’ “no” and different comfort levels.
We also ask for you to care for confidentiality and privacy. Personal stories shared in circles stay within the community unless explicit permission is given.
We also ask for respect and care to nurture the NVC Family Camp as a diverse and inclusive space, which may include different parenting styles, family structures, abilities, neurotypes, social and personal identities, gender identities, social roles, different relationships with one’s own culture, food preferences, and so on. Everyone is welcome here.
C. Children & Caregiving
This is an intergenerational community camp, and not a childcare/daycare program. Children must be accompanied and supported by their caregivers throughout the camp experience.
- Children under 3 must remain under the direct care and supervision of their caregivers at all times.
- Children under 12 need to be accompanied by an adult within the camp space.
- Families are requested to make their own arrangements for diapering, naps, feeding, and other caregiving needs.
D. Photos & Videos
We will ask for your consent regarding photography and videography during camp, and for your cooperation and care in respecting individual and family preferences regarding being photographed or recorded.
E. Cancellation & Refund Policy
In the unlikely event that the organizers cancel the camp, all payments made, including the booking amount, will be fully refunded.
If you cancel your registration:
- Cancellations 60+ days prior to camp: Full refund minus booking amount
- Cancellations 30–59 days prior to camp: 50% refund minus booking amount
- Cancellations less than 30 days prior: No refund
Registrations may be transferable to another individual or family, subject to prior communication and approval from the organizing team.
F. Living and Learning in Community
This is a fully residential camp experience where we arrive together, live in community together, and journey together over several days. We are intentionally choosing this immersive format to create a shared container for trust, authenticity, connection, learning, play, and collective care.
We encourage you to help to care for our shared spaces and the venue, by cleaning up after meals and activities, ad supporting a community/village atmosphere rather than “consumer retreat” mentality. We also want to invite you to consume mindfully and with respect for others. This includes food, experiences, devices, and screens.
enCOMPASSion is committed to creating a space of care, dignity, and safety for all participants, and we ask our participants to do the same. As an NVC organisation, we are commited to staying open to dialogue when possible, once there is safety enough for everyone. At the same time, we honour that occasions can call for protection first, in order to enable connection and repair. These agreements are offered to support safety, dignity, and care for everyone at the camp.
