Camp Agreements and Policies

As part of the registration process, we will ask all participants to consent to the following community agreements and policies. Please take a moment to read them.

Do get in touch with us if you have any questions or clarifications.

A. Health and Medical Agreements

We ask participants to share relevant medical information, allergies, emergency contacts, and any significant health considerations that may support safety and care during camp. We ask you to take responsibility for your medical treatment, hospitalization, or emergency-related expenses. Participants also agree that:

  • They are responsible for their own medical care and related expenses
  • They will inform the organizing team if they develop symptoms of a contagious illness
  • They will follow reasonable community care measures if needed, including masking, testing, quarantine, or temporary isolation as needed

B. Safety, Consent and Inclusion

enCOMPASSion is committed to maintaining a safe, respectful, and consent-based environment at the NVC Family Camp. To enable this, we ask that all campers agree to the following:

  • To honour the physical and emotional boundaries, and to respect the consent and choice of all people at the camp, particularly children and others who may not always find it easy to advocate for themselves.
  • To actively seek consent before physical touch, offering advice, taking photographs, hugging, and similar interactions.
  • To freely say “yes,” “no,” or “not right now,” and to respect our own boundaries and each others’, and honouring that we all have differing comfort levels.
  • To care for confidentiality and privacy. Personal stories and vulnerable sharing within circles and community spaces should remain confidential unless explicit permission is given.
  • To respect our diversity, including cultural differences, differences in parenting styles, family structures, abilities, neurotypes, social and personal identities, gender identities, social roles, different relationships with one’s own culture, food preferences, and so on.

We hope to co-create a camp culture where everyone can safely participate, explore, contribute, and belong.

In case of violations of the above agreements, we reserve the right to intervene to protect the safety of the camp and campers, including by asking participants to leave and/or involving relevant authorities, where necessary.

C. Children & Caregiving

This is an intergenerational community camp, and not a childcare/daycare program. Children must be accompanied and supported by their caregivers throughout the camp experience.

  • Children under 3 must remain under the direct care and supervision of their caregivers at all times.
  • Children under 12 need to be accompanied by an adult within the camp space.
  • Families are requested to make their own arrangements for diapering, naps, feeding, and other caregiving needs.

D. Photos & Videos

We will ask for your consent regarding photography and videography during camp, and for your cooperation and care in respecting others’ preferences regarding being photographed or recorded. We will go through this during the intake process after registration.

E. Cancellation & Refund Policy

In the unlikely event that the organizers cancel the camp, all payments made, including the booking amount, will be fully refunded.

If you cancel your registration:

  • Cancellations 60+ days prior to camp: Full refund minus booking amount
  • Cancellations 30–59 days prior to camp: 50% refund minus booking amount
  • Cancellations less than 30 days prior: No refund

Registrations may be transferable to another individual or family, subject to prior communication and approval from the organizing team.

F. Consuming Mindfully, Being in Community

This is a fully residential camp experience rooted in shared living, participation, and community care. We invite campers to help care for our shared spaces and the venue by cleaning up after meals and activities, and contributing to the collective well-being of the camp environment.

We also encourage mindful participation and consumption — whether around food, experiences, devices, attention, or screen time — with awareness of ourselves, the space, and one another.

Please note that alcohol and recreational drugs are not permitted during the camp.

Intentions behind these Agreements

enCOMPASSion is committed to offering honest, safe learning spaces. Our agreements and policies here are intended to support safety, dignity, and care for everyone at the camp. As an NVC organisation, enCOMPASSion is commited to staying open to dialogue to the extent possible. At the same time, we also understand that occasions can call for safety first. We reserve the right to act in service of safety, care, and dignity for all participants.
